Roofing Coordinator (12-Month Contract)

Flynn Group of Companies is currently looking for an Roofing Coordinator to support our Vancouver Branch located in Surrey, BC (Office Location - 19175 - 22nd Avenue, Surrey BC V3Z 3S6), reporting to the Roofing Operations Manager.

A Day In The Life

    • Verifies job specifications, material list, and shop drawings with estimate to gather and provide the client the following submittals for approval: MSDS & Product Data, LEED Package (if specified) Material & Colour Samples, QAQC Plan, Project Schedule
    • Relays job details to the safety coordinator to obtain the project safety binder 
    • Generates and submits WCB Notice of Project
    • Prepares and issue Purchase Order materials collaboration with Project Manager
    • Orders materials and supplies as per job requirements, ensures necessary equipment is available and operational onsite, and coordinates logistics including scheduling of fleet trucks and in-house crane operations
    • Coordinates the logistics and movement of all materials, rentals and equipment for up to 25 projects simultaneously
    • Tracks status of all purchased goods (delivery dates, issues/risks, etc.) and reports to Project Managers, Superintendents and Foremen.
    • Issues warranties applications, close-out documents, subcontracts
    • Set ups new vendor and subcontractors and keeps their documentation updated. 
    • Reviews and process suppliers’ invoices
    • Assists Production Manager and Superintendents with preparing prices for extras or credits
    • High volume file management, ensuring files are complete, all authorizations and information is present for work completed
    • From time to time ensures change orders are properly documented, accounted for and entered into Dynamics
    • Communicates and notifies Consultants and Manufacturing agents on daily basis regarding current job status
    • Provides project crew lists to the safety and roofing departments on daily basis
    • Maintains physical and electronic files and/or organizational systems and archives documents
    • Generates Flynn Store tickets for Superintendent and Foremen
    • Provides support to Superintendents, PMs, Foreman, on daily basis with requests as required via company cell phone
    • Assist on payroll issues, new hires (local and foreign workers), pay increases, leave of absence etc. 
    • Works outside of regular office hours via company cell phone, when required
    • Other administrative duties, as required

What We Are Seeking

    • Experience working in the commercial roofing industry is an asset 
    • Proficiency in MS office package, including MS Project
    • Highly motivated with strong organizational, analytical, problem solving and decision-making abilities
    • Strong negotiation and communication skills
    • Ability to multitask and work in a team environment
    • Ability to read plans and specifications
